Step 1: Search for a Candidate by Name
Use the global search bar to enter the name of the candidate you want to find. NinjaHire will display candidates matching your search.
Step 2: Review the Candidate’s Profile
Open the candidate’s profile and review the AI-generated summary, education history, and professional experience to assess their suitability.
Step 3: Search by LinkedIn URL
Edit the filters, clear the previous search, and paste a LinkedIn profile URL into the search field to locate a specific candidate profile from LinkedIn.
Step 4: Use Natural Language Search for a Role
Clear the existing search and enter a natural language query (for example, “frontend developer with React experience”) to let the system find matching candidates.
Step 5: Review AI-Generated Candidate Suggestions
Scroll through the list of AI-suggested candidates, reviewing their summaries and key skills to identify strong matches.
Step 6: Create a New Job
Navigate to the Jobs section and click Add Job. Enter the job requirements and key details in plain English or natural language to create the new job.
Step 7: Finalize AI-Filled Job Details
Review the AI-populated job description and fields, make any necessary edits, complete the job creation process, and skip the sourcing prompt if you do not wish to source immediately.
Step 8: Generate Interview Questions with AI Copilot
On the job details page, open the Interview Questions tab to add role-specific interview questions. You can use the AI Copilot to generate questions automatically or add questions manually.
Step 9: Review the Generated Interview Questions
Review the AI-generated interview questions and select the questions you want to use for the candidate screening process.
Step 10: Add Job-Specific Context to the Knowledge Base
Use the Knowledge Base to add job-specific information that the AI Agent can reference during AI Screening calls when candidates ask questions related to the job.
Step 11: Add FAQs to the Knowledge Base
Once the category is created, add relevant FAQs by providing the questions and answers that you want the AI Agent to reference during AI Screening calls.
Step 12: Filter Candidates By Making Any Requirement Mandatory Or Using Additional Criteria
Use the filters to narrow down your candidate pool by setting any available criteria as mandatory requirements. You can also add additional criteria to further refine the candidate results.
Step 14: Use Boolean Search to Find Candidates
Alternatively, use Boolean Search to find candidates based on specific criteria. You can create your own Boolean string or use AI to generate one based on your job requirements.
Step 15: Shortlist Candidates from Search Results
Browse the search results, open a promising candidate’s profile, and add them to your shortlist for further evaluation.
Step 16: Add Shortlisted Candidates to Outreach
Switch to the Shortlisted tab, select a candidate, and click “Add to outreach” to start the outreach process for that candidate.
Step 17: Select a Job Campaign Sequence
Choose the relevant job campaign sequence for the candidate and confirm to begin the automated outreach.
Step 18: Add Candidates to Outreach in Bulk
Use Select All to choose multiple candidates, specify the number of profiles you want to add, and click Add to Outreach to add them in bulk. You can add up to 100 profiles at a time.
Step 19 : Review AI Screening Results
Open a candidate’s profile from the AI Screened tab to review detailed screening results, including the AI-generated assessment, interview questions and answers, recordings, and other screening details.
Step 20: Manage Candidate Replies and Campaign Performance
Access the replies section to manage incoming communications from candidates across different jobs. Review outreach campaign performance statistics, including email delivery, open rates, and engagement, and inspect detailed logs of all email, SMS, and call interactions for the campaign.
Step 21: Monitor Active Outreach Campaigns
Return to the outreach dashboard to view all active recruitment campaigns and monitor their key performance indicators.
Step 22: Create a Custom Outreach Sequence
Navigate to the Sequences section under the Outreach tab and click Add Sequence. Provide a name and description for your custom sequence, then define the steps for your outreach campaign.
Step 23: Configure the First Outreach Step
Add the first step to your sequence for Sourced candidates. Select your preferred communication channel and set the wait time for when the step should be executed.
Step 24: Create the Outreach Template
Draft the template for your selected communication channel using dynamic variables to personalize your outreach. You can also preview the template content on the right side of the modal.
Step 25: Save the Outreach Template
Provide a name for your template and click Save Template to save it for the selected communication channel in your custom outreach sequence.
Step 26: Add a Step for Applied Candidates
Similar to the Sourced tab, you can add a step for Applied candidates under the same custom sequence. Add the first step, select your preferred communication channel, and set the wait time for execution.
Step 27: Configure and Save the Template
Enter the content for your selected communication channel, provide a name for the template, and click Save Template to complete the step.
Step 28: Review and Save the Custom Sequence
Review your custom sequence to ensure all steps are configured correctly. Click Save in the top-right corner to save the sequence.
Step 29: View Your Custom Sequence
Navigate to the Sequence tab to view your newly created custom sequence in the sequence list.
Step 30: Explore the Talent Pool
Navigate to the Talent Pool to access candidates you’ve previously enriched or synced. You can search and filter candidates using Intelligent Search, and run campaigns to identify potential candidates for future opportunities.
Step 31: Review Credit Usage and Cost Catalog
Open the Credit Usage Dashboard to monitor your current spending. Scroll through the Credit Cost Catalog to review the credit costs associated with each and every activity.
Step 32: Analyze Credit Activity and Transaction Details
Switch to the Activity Log tab to view your credit consumption history. Expand individual entries to see detailed transaction information, including credit usage breakdown.
Step 33: Configure Your Profile Settings
Navigate to Settings and select General Settings. In the My Profile tab, you can manage your personal and profile-related information.
Step 34: Configure Your Email Signature
Navigate to the Email Signature tab under General Settings to configure your personalized email signature for emails sent from NinjaHire.
Step 35: Configure LinkedIn Settings
Navigate to LinkedIn Settings to connect your LinkedIn account and configure related settings, including your organization’s business hours, time zone, and automation limits.
Step 36: Configure Phone Call Settings
Navigate to Phone Call Settings to configure call settings for the entire organization, including call windows, cadence, voicemail, and initial message settings for the AI Recruiter.
Step 37: Configure Voice Settings for the AI Agent
Navigate to Voice Settings to configure how your AI Agent introduces itself on calls and which voice candidates hear when they connect. Set the Agent Identity by giving your agent a name, then choose a voice from the Voice Library.
Step 38: Configure Email and Domain Settings
Navigate to Email and Domain Settings to connect your mailbox, configure email sending limits, and optionally verify a custom domain for outbound emails. Once connected, outbound messages will be sent from your email address and appear in your Sent folder.
Step 39: Configure Tenant Settings
Navigate to Tenant Settings to configure your organization’s branding and workspace defaults.
Step 40: Configure the Knowledge Base
Navigate to the Knowledge Base to add organization- and client-related FAQs that your AI Agent can reference when interacting with candidates.
Step 41: Configure Interview Question Criteria
Navigate to the Interview Questions Criteria section and select the criteria you want to include for candidate screening. You can also add a custom category and define specific screening criteria for it. The AI Copilot will generate interview questions based on the selected criteria.
Step 42: Configure Integrations
Navigate to Integrations under Settings to connect and manage third-party tools such as ATS platforms, Job Boards, and VMS systems. Select the integration you want to connect and provide the required details to activate it.
Step 43: Manage Users and Invite Team Members
Navigate to User Management under Settings to invite users to your tenant organization. Enter the user’s name and email, select a role—Recruiter or Admin—and send the invitation.
