1. Job Sync and ATS Integration (ClearCompany)

Issue: Requisitions are not appearing in NinjaHire after being created in ClearCompany.

  • Sync Delay: It can take up to 15 minutes for data to travel between systems. Try using the Refresh/Sync button in your dashboard.

  • Webhook Verification: Go to your ClearCompany World of Work Webhook settings. Check the logs to see if the job was successfully sent. If the log shows a failure, the issue is on the ClearCompany side.

  • API Check: Ensure your X-Api-Key is still active and has not expired.

  • Data Requirements: Make sure the Job Title and Location fields are filled out in ClearCompany. The system may skip requisitions with missing data.

Issue: Candidate not syncing back to ClearCompany after a screening.

  • Status Trigger: Check if the candidate has reached the required stage (like Call Success).

  • Manual Push: Use the Export to ATS button on the candidate profile if the automatic sync hasn't triggered.

3. AI Outreach and Call Quality

Issue: AI outreach is not triggering.

  • Automation Rules: Verify that your automation rules are set to "Active" for that specific job.

  • Consent and Location: If a candidate is in a high-regulation area like Florida, the system will automatically stick to email only until they provide consent for a call.

  • Time Windows: The AI only calls during professional hours based on the candidate's local time zone.

Issue: Call quality or complaints.

  • Review Recordings: Listen to the call in the Screened tab to see if the issue was technical or if the candidate was just in a noisy area.

  • Auto-Retry: NinjaHire automatically detects call drops and will attempt to reschedule with the candidate.

4. Customizing the AI Voice

You can now change how the AI recruiter sounds to match your company’s vibe.

  • Settings: Go to Settings > Voice settings.

  • Selection: You can pick between different voices (like Professional, Friendly, or Casual). This is a great product improvement to help your outreach feel more humanized for different types of roles.

5. Billing and Credit Allocation

We believe in total transparency regarding how your credits are spent.

  • Per-Entity Breakdown: In your Credit Allocation settings, we show exactly how many credits are being charged for each action (e.g., one credit per contact enrichment, one credit per AI interview).

  • Usage Logs: You can view a detailed log of which jobs and candidates are consuming your credits so you can plan your hiring budget effectively.
