How let AI outreach thousands of candidates ?

This document explains how to use AI-powered sequences to reach out to large volumes of candidates for an open job, from sourcing and shortlisting through to tracking outreach and performance analytics.

Step 1: Open the AI Sourced Candidates for Your Job

Navigate to your specific open job in the platform.
From within the job, go to the AI Sourced tab to view all candidates that have been automatically sourced for this role.

Step 2: Review Candidate Profiles and Shortlist

From the AI-sourced candidates list, review each candidate’s profile individually to assess fit for the role.
Select multiple candidates that you consider suitable.

After reviewing their profiles, select the candidates you want to move forward with.

Click Shortlist to add these candidates to your shortlisted pool for this job.

Step 3: Add Candidates Directly to Outreach (Optional)

If you prefer to skip shortlisting, you can add candidates directly to an outreach campaign from the AI Sourced tab.
Use the Add to Outreach option to immediately include selected candidates in an outreach sequence.

Alternatively, if you used the Shortlist action, your selected candidates will now appear in the Shortlisted tab for this job.

They will be visible in the Shortlisted tab, from where you can choose a subset for outreach (for example, selecting 5–7 out of 10 shortlisted candidates).

Step 4: Add Shortlisted Candidates to an AI Sequence

From the Shortlisted tab, select the candidates you want to contact.
Click Add to Sequence (or Add to Outreach Sequence) to start configuring your AI-driven outreach.

Confirm by selecting Add to Sequence in the menu or dialog.

Choose your desired outreach workflow (sequence). This could be:

  • A default sequence

  • An urgent hiring sequence

  • Any custom sequence you have previously created and saved on your platform

Select the most appropriate workflow for this role and campaign.

Once selected, click Continue to finalize adding these candidates to the chosen sequence.

The candidates are now successfully added to the AI sequence.

Step 5: Understand How AI Sequences Engage Candidates

The AI sequences automatically use a combination of SMS, email, and automated phone calls so your message appears on the channels candidates use most frequently.

If a phone call is not answered, the AI bot leaves a personalized voicemail inviting the candidate to respond.

When a candidate shows interest, Ninja Hire AI automatically schedules—and, if needed, reschedules—interviews based on your real-time calendar, removing the need for manual back-and-forth coordination.

Step 6: Monitor Job-Level Outreach and Candidate Status

Within the job, you can open the Job Analytics section to monitor outreach performance specific to that role.

Here you can see:

  • How many candidates you have attempted to contact

  • How many interviews are completed

  • Other job-level outreach metrics

For each individual candidate, you can also view:

  • Application status

  • Location

  • Screening status

  • Match score (calculated after the AI call)

  • Number of call attempts

  • Last call status (e.g., answered, voicemail left, no answer)

Step 7: Track Overall Outreach Analytics Across Campaigns

To see broader performance across all your AI outreach campaigns, go to the main Analytics tab dedicated to outreach.

In this section, you can:

  • Monitor open rates

  • Track candidate responses

  • Review interview bookings

This provides a consolidated view of how your AI campaigns are performing.

You can switch between different analytics views:

  • An overall candidate-wise overview

  • Channel-specific analytics for email, SMS, and calls, allowing you to understand which channel is performing best.
